Last In Report

Location: Reports > Lists > Last In Report

The Last In Report is a powerful client list report used to identify which clients were or were not in your business within a selected date range. It pulls the most recent visit within that range (for the "were in" options) and includes key contact details, making it ideal for follow‑ups, marketing, cleanup, and analysis.


What the Last In Report Is Used For

Businesses commonly use the Last In Report to:

  • Follow up with clients who have not visited recently

  • Identify loyal or regularly visiting clients

  • Build targeted email or mail‑merge lists

  • Re‑engage inactive or lapsed clients

  • Clean up old or inactive client records

  • Cross‑reference clients against packages or invoices

  • Segment clients by module, date activity, or visit patterns


How the Report Works

 

Depending on the option selected, the report will:

  • Include clients who were in during a date range and show their most recent visit in that range, or

  • Exclude clients who were in during a date range and instead show their last visit outside of it

Each result row includes:

  • Client name

  • Pet name

  • Phone number

  • Email address

  • Last In Date

  • Module (Boarding, Grooming, Daycare, Special Services)


How to Run the Last In Report (Step-by-Step)

Follow the steps below to generate a Last In Report.

Step 1: Navigate to the Report

  1. Go to Reports

  2. Select Lists

  3. Click Last In Report


Step 2: Choose Output Format

  1. In the View As section, select one of the following:

    • PDF for printing or sharing

    • HTML to view in your browser

    • Excel to export and work with the data


Step 3: (Optional) Enable Pets Check In

  1. Check "include checked-in pets only" if you want results broken out by actual pet visits instead of just client-level data


Step 4: Select a Module

  1. Under Select a module, choose:

    • All Modules, or

    • A specific module: Boarding, Grooming, Daycare, or Special Services

This helps target specific services, such as grooming-only follow-ups.


Step 5: Choose How Clients Are Included

Under Print customers, select one of the following options:

  1. Last In Since – Clients who have been in since a specific date

  2. Not In Since – Clients who have not been in since a specific date

  3. In Between Dates – Clients who visited at least once between two dates

  4. Not In Between Dates – Clients who did not visit at all between two dates


Step 6: Select Dates

  1. Enter a Beginning date

  2. Enter an Ending date (if applicable)

  3. Use "Only go back to" to limit how far back the system looks for visit history

This helps prevent pulling extremely old client data.

Include Checked-in Pets: 

  • When enabled, the report will include pet‑level check‑in details instead of only client‑level data


Select a Module

Filter results by service type:

  • All Modules

  • Boarding

  • Grooming

  • Daycare

  • Special Services

This allows you to run highly targeted lists, for example, grooming‑only follow‑ups.

 

 


Print Customers (Most Important Section)

This determines how clients are included or excluded based on visit history.

Last In Since

Shows clients who have been in since a specific date.

Example use: Find active or recently visiting clients.

Not In Since

Shows clients who have NOT been in since a specific date.

Example use: Identify inactive or lapsed clients for re‑engagement.

In Between Dates

Shows clients who were in at least once between two dates.

The report will display their most recent visit within that date range.

Example use: Marketing or reporting on activity during a specific promotion or season.

Not In Between Dates

Shows clients who did NOT visit at all between two selected dates.

The report will display their last visit outside of that range.

Example use: Identify clients who skipped a season or stopped coming in during a known period.

Date Fields Explained

  • Beginning Date – Start of the reporting window

  • Ending Date – End of the reporting window

  • Only Go Back To – Limits how far back the system will search for a client’s last visit

Using Only Go Back To helps avoid pulling extremely old or irrelevant client history.


Sort By

Choose how results are ordered:

  • First Name

  • Last Name

This is especially helpful when exporting to Excel or preparing mail‑merge lists.


Common Use Case Examples

  • Run Not In Since for Grooming to find clients who may need reminders

  • Run In Between Dates to measure campaign effectiveness

  • Run Not In Between Dates to identify churn during a season

  • Export to Excel for bulk email or mailing list creation
