Multi-Loc Client Self Pay

Self Pay allows clients to conveniently view and pay invoices through the Client Portal, helping streamline the payment process while reducing staff involvement. Businesses can control which invoices are displayed, automatically apply eligible appointment deposits, and customize invoice messaging. To use Self Pay, credit card processing through Kennel Connection must be enabled. Clients are required to pay the full invoice balance shown in the portal, and any non-appointment credits or manually managed deposits must be applied by an employee before online payment is made.

Settings need to be enabled for each location.

 

Setting your options

Click on Online Reservations, Use & Registration.



Scroll down to View & Self Pay Invoices

IMPORTANT:  Clients will be required to pay the full amount of the invoice, or full remaining balance if there have been previous partial payments.  They cannot make partial payments through Self Pay.

Allow clients to see and pay invoices – Check this option to enable client to pay through the portal.

Hide invoice older than X days – Choose your cut-off date for displaying invoices.  Any invoice with a date older than your option will not show in the portal.  This includes paid, partially paid and unpaid invoices.

Do not automatically apply appointment deposits to the invoice – It is recommended that you leave this feature enabled.  If you check this box, an employee will need to apply deposits before the client pays in the portal.  This could mean overpayment if the client pays before the deposit can be applied.

IMPORTANT:  Only deposits added through the appointment or OLR deposits can be automatically applied.  Any other credit on the account will need to be applied by the employee before the client pays through the portal.

Invoice Title – Add your customize message that will display in the Client Portal.

 

Using Self Pay

Once client log into the Client Portal, they will see the Invoice and Payments tab.

The Unpaid tab will show their open invoices where they can pay up to 10 at one time.

 

To pay invoices, choose the invoice(s) and click the Pay Now button.

 

 

The payment screen shows the invoices to be paid and what deposits have been applied.

The client can click on the invoice number, which will open a new tab and show all the details.






The client will click to Proceed to Payment.  They can click to leave a tip and click Confirm Payment when ready.



It will show a final screen with the total amount to be charged and the client can click Yes to finish the transaction.

 

 

Once the invoice has been paid, the invoice will be moved from the Unpaid tab to the Paid tab.

Here the client can click to show the invoice or receipt.

 

 

Automatically applying appointment deposits

When this option is enabled, once clients have clicked Pay Now, the next screen will show what deposits have been automatically applied.  If there is more than one deposit, it will show the amount for each one.



Applying other credits and manually applying appointment deposits

Any credit besides appointment deposits will need to be applied manually by an employee before the client pays.  This is also needed if you disable the option for KC to automatically apply appointment deposits.

To do this, click to Pay the invoice.

Check the Pay box for the invoice and the credit or deposit.

In the Amount Paid field, change the invoice amount to the amount of the credit/deposit.  This means you are only applying the credit/deposit amount now and the remaining balance can be paid through the Client Portal.

Note:  You still need to check the green Pay $0 to complete the transaction.

 

In the Client Portal, the client can pay the remaining balance.
