Uploading your KC Desktop Database, Pictures and Documents for KC Cloud Conversion

3 min. readlast update: 10.14.2025

If you are coming from KC Desktop and converting to KC Cloud, you’ll be scheduled with our on-boarding specialists for a go-live date. The night before the go-live date, you’ll need to create a backup of your database. If you are not familiar with the process for backing up, please see our Knowledge Base article here

If you use Pictures and Documents for client and pet records, those will also need to be copied and compressed. Please go to the C:\KC7 folder on the main computer. In there, you will see two folders, KCDocs and Pix.

Right click KC Docs and select Copy, then go to your Desktop screen, right click any blank area there and select Paste. Then do the same thing for the Pix folder, right click, Copy, go to the desktop, right click, paste.

Once both folders are on the Desktop, you can click one of them, hold down the Ctrl key and then click the other one to highlight both at the same time. With both folders highlighted, right click one of them and select Show More Options. (This is if you are on Windows 11)

If you are on Windows 10, or if you have clicked Show More Options, you should see the following menu. Click Send To and the option will expand.

Click the Select Your Files button in the center and it will bring up a navigation window. You can then upload the database from whichever drive you backed up to, then select the latest backup file you created at the beginning of this process.

Once selected and you click Open, the webpage will change and begin putting the file in place. You’ll then want to click Add More Files at the top to include your pictures and documents, as well.

You’ll then want to navigate in the window to your Desktop where you saved the zip of the KCDocs and Pix folders. It will either show the zip name you entered when saving the file, or show as a zipped folder called Pix or KCDocs depending on which one you right clicked to zip them together. (In our example below, it is KCDocs.zip) Select the zip and click Open and it will begin getting those files ready for upload.

Once it shows the sizing of all selected files, the last step is to scroll down and fill out the form so our developers know all of the important information on which account this is for and where it should be going.
