Multi-Loc Setting up Online Reservations - Grooming

The Grooming Online Reservation settings allow you to customize how clients request grooming appointments through Online Reservations. From appointment approvals and booking restrictions to employee selection, cancellation policies, client communications, and required forms, these settings help you create a reservation process that matches your grooming workflow. By tailoring the online booking experience to your facility's needs, you can reduce administrative work, collect important information before appointments, and make it easier for clients to schedule grooming services online.

Click on Online Reservations, OLR Settings, Grooming.



In this first section you can:

Require approval:  This means clients can submit a request for an appointment and it will go into a Pending list.  An employee will need to approve the appointment before it’s added to the schedule.

Cancel appointments:  This is an optional feature.  If enabled, put in your cut off time.  Clients will not be able to cancel appointments past this time.

Limit bookings in the future:  If you do not put anything here, the client can book up to a year in the future.

Disallow clients to add appointment notes:  This can be enabled/disabled depending on whether you want clients to add additional info to appointment.

Require at least one item:  If you click these boxes, then the client must choose at least one Feeding, Exercise, Product or Extra Service before continuing with the appointment.  If you leave this blank, the client will see all of your options but will be able to click to go to the next screen without choosing anything.

Scheduling and Employees:  Choose whether you’d like the client to be able to choose an employee or not.  You can also set it to ‘Use employee schedules’ only so KC will only show times available if an employee is scheduled to work.

Minimum Notice:  Set whether you allow for same day bookings or not.

Concurrent bookings if NOT using the groomer's schedule.:  This is how you control how many appointment slots are available for each appointment time.  For example, say your times are 8am, 9am, 10:30am, and 12pm times.

These settings mean you will have 5 total openings at each time, this would 5 appts x 4 appt times for 20 total openings for the day.

Of those 5, all 5 can be baths.

Of those 5, only 3 can be grooms.

Of those 5, all 5 can be nails.

Of those 5, none can be Other Grooms.


Maximum concurrent if using groomer's schedule:  If you put 1 here, then there will be 4 appts available, one at 8am, at 9am, at 10:30am at 12pm.  

NOTE:  Most businesses need to tweak these numbers as they start to use OLR grooming because they are either getting too many requrests or not enough requests.

 

When a client clicks to request an appointment, KC is looking to see what do you already have booked at those times.  It considers an appointment blocked taken except for the ending time.

In this example, we have 4 appointments scheduled at 8am.  That means there is one more slot open at 8am.

3 of those appointments are groom and we only allow for 3 grooms.  This means no more grooms can be assigned at 8am.  OLR can assign a bath or nail trim at 8am.

 

 



Email Settings

Approval emails:  Set this option if you’d like to send a confirmation email when an appointment is added to the schedule or approved by an employee.

Denial emails:  If you have to deny an appointment, you have the option to send or not send a denial email.  Here you can set the default message but this will show on the screen and you can also edit it before sending.

Waitlist emails:  If you use the waitlist feature, you have the option to send or not to send a waitlist email.  Here you can set the default message but this will show on the screen and you can also edit it before sending.
